The following is the general regulatory basis for successfully developing the SIGESTIC 2025 Trade Fair. Companies that aspire to participate as exhibitors must comply with it.

SET-UP AND AMBIENCE

The assembly of the stands will be carried out on the fair structure determined by the Organizing Committee.

The Exhibitor, from the rented space, will receive the unassembled interior area from the fair coordinator and decide on the arrangement of the samples and the setting (auxiliary equipment, and location of the furniture provided at the venue, among other things). The display area for samples and ambiance is limited to the dimensions contracted by the exhibiting company.

Booth projects must be submitted to the Fair Coordinator for approval before August 15. The Exhibitor is obliged to submit the stand layout for assembly, the list of equipment to be used in the exhibition, and specify the current needs and furniture required. The Exhibitor may not make any structural or electrical modifications to the approved project without prior consultation with the Organizing Committee.

Exhibitors can arrange their displays at their respective stands during assembly day on September 15, 2025, starting at 9:00 AM. If additional time is needed for booth setup, the exhibiting company must coordinate directly with the Organizing Committee's Fair Coordinator. Booths must be ready and organized for presentation by the fair's opening date on September 16, 2025.

In the decoration and location of their exhibits, exhibitors must not use materials that may affect the hall that will host the fair or the means provided as furniture. Special and complex projects using wood, plasterboard, paint, or similar materials will not be admitted.

During the assembly date, no person shall be allowed to work in the exhibition hall without the proper Exhibitor's accreditation.

HOURS

The Commercial Fair will be open from 9:00 AM to 1:30 PM during its exhibition phase. During this period, the Exhibitor will keep its booth attended and guarantee the permanence of its personnel.

PROMOTION AND PUBLICITY ACTIONS

The event's Organizing Committee will create an official list of participating exhibitors, which will be available on this platform. The exhibitors themselves shall provide the information contained therein. For this purpose, they shall agree to send their respective information in digital format, and in the model established for this purpose, which is included in Annex 1. The Organizing Committee shall not be responsible for omissions or errors in the information provided.

To ensure effective use in promotional materials, exhibitors must provide their visual identifier in a digital format compatible with Adobe Illustrator (*.ai). It is also advisable to include their Corporate Visual Identity Manual or a document detailing the guidelines for using their identity. This will help guarantee the proper application of their visual elements.

Exhibitors interested in showcasing audiovisual material in the promotional spaces are welcome to submit their content. This material will be incorporated into the event's design. Please ensure all submissions are delivered in digital format and of appropriate quality to the ETI headquarters by August 29, 2025.

The event's Organizing Committee reserves the right to insert them in the promotional spaces it deems appropriate, always respecting their integration with the event's visual design and the proportional distribution of promotional materials delivered by the total number of exhibitors.

Exhibitors shall limit themselves to the area of their contracted space to carry out any promotional and advertising action, as long as it does not affect the rest of the exhibitors, hinder the movement of the public, or disturb the atmosphere of the fair. The use of advertising or promotional materials in any format within the trade fair exhibition area or other event spaces, unless previously coordinated with the event organizer, is prohibited.

Exhibitors of the trade fair interested in carrying out promotional activities other than those described in the preceding paragraphs, but always associated with the objective of the event, such as contests, raffles, demonstrations, and sample delivery, among others, must coordinate directly with the Organizing Committee, for their inclusion in the fair program, as well as their organization in the appropriate areas for such purposes, avoiding affecting the exposure of other exhibitors and the circulation within the exhibition area. The deadline for coordinating these activities will be August 29, 2025. 

Exhibitors at the trade fair who wish to conduct promotional activities beyond those mentioned earlier such as contests, raffles, demonstrations, and sample distribution, must coordinate directly with the Organizing Committee. This coordination is essential for integrating these activities into the fair program and organizing them in designated areas. It is important to ensure that these activities do not disrupt the exposure of other exhibitors or the flow of attendees within the exhibition space. The deadline for coordinating these activities is August 29, 2025.

Exhibitors who plan to have audio and/or video equipment in their booth should take the necessary measures regarding volume so as not to affect the activity of the surrounding booths.

DISMANTLING

Removing samples and merchandise from the exhibitors' stands will begin after the trade fair concludes on September 17, 2025. The booth and display materials provided to the exhibitor must be returned in the same condition they were received and handed over directly to the Fair Coordinator before being removed from the exhibition facilities.

The removal of merchandise brought into the exhibition hall by the exhibitor will require a prior inspection conducted jointly by the Exhibitor and the Fair Coordinator.

SECURITY AND PROTECTION

Each exhibitor will be responsible for the custody and safekeeping of samples, furniture, and other assets in their booth during the fair's operating hours, from 9:00 AM to 1:30 PM. Outside of these hours, the hotel will provide security.

Should there be any irregularities in this regard, exhibitors must inform the Organizing Committee on time.
